Data-Prep Checklist & Templates
This checklist shows what to gather from your old system and how to tidy it before a five-day SlipSlate setup. It covers slips, customers, vessels, agreements, meters and open invoices, plus the CSV templates to format them. You get back an import preview with an exceptions list to review before you sign off at go-live.
Sample CSV Templates
Download our bundle of CSV templates to format your data correctly for import.
Download ZIP BundleGive us your messiest export. We map it; you don't need to clean it perfectly. Nothing is silently "fixed": we flag it, you decide.
Gather
- Map: an image of your marina layout (PNG, JPEG or WebP). You must have the right to share it.
- Slip list with slip size, max boat length (LOA), beam, draft and space type. Shore-power ratings, if you have them.
- Customers and their contacts: a primary contact and a second contact.
- Vessels with name, type, LOA, beam and draft.
- Current and next-season agreements: type, dates, status, rent and how often it is charged (per night, month, season or year), deposit reference, the spaces each covers, and any extra fees such as electricity or storage.
- Current assignments (who is in which slip, for which dates).
- Meter list with commodity (power or water), unit and multiplier, and the latest readings. Tell us which meters serve several slips.
- Open invoices: invoice number, customer, date, amount due and due date. We import them as open invoices, and you choose the next invoice number.
- Signed agreement PDFs, insurance and registration documents (attach signed documents from each record).
Clean-up rules (10 minutes each, optional)
- State units explicitly: write them in the cell (40 ft, 12 m) or tell us one unit for the whole file.
- Use YYYY-MM-DD dates. If you can't, tell us whether your dates are DD/MM or MM/DD, and use four-digit years.
- Keep a stable ID per record (your old system's ID is ideal; we preserve it).
- Leave unknown dimensions blank. Don't enter 0.
- Name the meter commodity and unit. Power or water, and the unit on the meter or bill (for example kWh). If a meter's reading is scaled, give its multiplier; leave it blank if you don't know it.
- One row per agreement; one row per assignment period.
- Mark meter replacements and resets in the "Meter reset or replaced" column (yes).
- Remove cards, bank details and ID documents. We don't need and don't want payment data.
What you'll get back (migration preview)
Imported and rejected counts, an exceptions list (duplicates, missing references, date ambiguity, unit problems, occupancy conflicts), open invoices listed as imported or rejected, and a check of your old system's totals against what was imported, so you can sign off before go-live.
Using the Templates
The bundle includes: customers, vessels, spaces, agreements, assignments, meters, readings and charges (extra fees on an agreement). Each file has the column headings we read plus one example row to delete. You can also put them in one Excel workbook with a sheet per kind. Files can be up to 4 MB.
- The columns at the end of each file (for example emergency contact, shore power, registration number, document file names) are optional. Fill in what you have and leave the rest blank.
- Accepted words: meter commodity: power or water. Space type: wet slip, mooring or ground storage. Agreement type: seasonal, annual, monthly or transient. Agreement status: draft, active, ended or canceled. Rent period: per night, month, season or year. Stay status: reserved, checked in, checked out or canceled. In service: yes or no.
- An agreement's end date can mean the last day or the day after; tell us which you use. A stay's departure date is the day the space frees up.
- Blank means unknown. Zero is not accepted for sizes.
