Seasonal Renewal Checklist
This checklist is for marina operators managing end-of-season renewals. It runs from 120 days before the new season to post-season. Build a renewal queue of agreements expiring within 120 days, review each renewal before it is created, mark each as pending, confirmed or declined, then book freed spaces and record opening meter readings before launch.
T-120 to T-90 days
- Build the renewal queue: every agreement expiring in the next 120 days. Nothing is renewed from the queue until you review it.
- Decide next-season rates, dates, and any rule changes; confirm agreement template wording with your own counsel.
- Review spaces to retire, add, or block (maintenance, dock work).
T-90 to T-60
- Review every renewal before it is created. Check each customer, space, vessel fit, dates and rate in the queue. Signed agreements are never overwritten.
- Edit any agreement's price on the review screen before the renewal is created. Each agreement can carry its own next-season price.
- Send customers their new dates and rates (customer notice), or use your usual channel.
- Undo the whole run if you need to.
T-60 to T-30
- Mark each as Renewal pending / confirmed / declined.
- Check updated insurance and registration documents are on file (on file ≠ verified).
- Review the mismatch report for vessels that no longer fit their space or agreement.
T-30 to launch
- Book the spaces freed by declined renewals; staff approve each assignment.
- Resolve all conflicts and unresolved import exceptions.
- Record opening meter readings for every meter.
- Export renewals and rent figures to your accounting workflow; you keep invoicing and collecting as today.
- Print a daily operating snapshot as an outage backup.
Post-season
- Record closing meter readings, export usage, end finished agreements, export a full backup copy.
